All you need to get started with the Partner Partner CRM

1. Getting Started with the CRM

Overview our built-in CRM is the best place for agencies to manage accounts, track leads and deals, and collaborate with partners. You’ll find CRM tools in the left-hand navigation under the "CRM" dropdown.

Navigation

  • Go to the sidebar > CRM

  • You’ll see four options: Accounts, Contacts, Leads, and Deals

Best Practice Start with Accounts. This is the foundation of your CRM and ties into the rest of your pipeline.


2. Managing Accounts in Your CRM

Add Accounts

  • Manually: Use the “+ Add Account” button

  • Bulk Import: Click “Import CSV,” download the template, format your file, and upload

What You Can Track

  • Account Name

  • Website URL

  • Revenue

  • Platform (Shopify, Magento, etc.)

  • Lifecycle Stage

  • Lead Source

  • Primary Contact

  • Notes, Addresses, and more

Partner Overlaps

  • Accounts are auto-linked to other Partner Partner users who have the same domain name on file

  • You’ll see which partners also work with the same brand

Actions You Can Take

  • Edit any field

  • Delete the account

  • Send the account as a lead to one or more partners


3. Using Contacts in Partner Partner

How Contacts Work Contacts are tied to Accounts and represent the people you interact with.

Managing Contacts

  • Add or update manually

  • Use fields like First Name, Last Name, Email, Title, and LinkedIn URL

  • View contacts from the Account detail view or directly via the CRM > Contacts tab


4. Sending and Receiving Leads

What is a Lead? A Lead in Partner Partner is an account shared with a partner for new business development. You can also receive leads from partners.

Lead Tabs Explained

  • Sent: Leads you've sent to partners

  • Received: Leads you've received from partners

  • Lost/Not Sent: Leads created but not yet sent

Ways to Create a Lead

  • From an Account: Click “Send Lead” and choose which partner(s) to send it to

  • From scratch: Create a lead and link it to an account later

Receiving Leads

  • Go to "Leads Received"

  • Click to Accept (turns into a Deal) or Decline (sends status back to partner)


5. Understanding Deals: Internal vs. Partner Sourced

What’s a Deal? A Deal is a sales opportunity tied to an Account. It may be created by you directly or result from an accepted lead from a partner.

Creating a Deal

  • Internal: Use “+ Add Deal” for opportunities from your own marketing

  • Partner-Sourced: Accept a Lead from the Leads tab, which auto-creates a Deal

Deal Lifecycle

  • Open

  • Closed Won

  • Closed Lost

Read-Only Partner Deals

  • If you send a lead that becomes a deal on your partner’s side, you’ll see it in “Deals Sent,” but won’t be able to edit it


6. How Deal Ownership Works

Owner Company Every Deal has an Owner Company. That’s how Partner Partner assigns CRM visibility and control.

Where to See Your Deals

  • Go to CRM > Deals

  • Use the “All My Deals” tab to view every deal where your agency is the owner

Ownership Scenarios

  • You create the deal directly: you’re the owner

  • You accept a lead: you become the owner

  • You refer a lead: your partner becomes the owner, but you can still see it


7. Connecting Referrals to Deals

Why Connect Referrals? Referrals create a formal record of who sent what, for tracking and eventual payouts.

How to Connect a Referral

  • Open any Deal

  • Click “Connect Referral”

  • A record is created and visible under Referrals In or Referrals Out

Status Management

  • You control the status: Accepted or Declined

  • Even if Declined, it’s best to connect the referral so the partner sees the outcome

Visibility for Partners

  • Partners see updates, but can’t change them

  • Helps both sides keep clear records


8. Preview: Referral Codes, Billings, and Payouts (Coming Soon)

  • Assign unique tracking links or coupon codes to partners

  • Attribute incoming leads and deals to partners automatically

Billings (Coming Soon)

  • Record revenue earned from a Deal

  • Tie it to an Account and track it through to payment

Payouts (Coming Soon)

  • Use tracked revenue to calculate payouts for partners

  • Partner Partner will support percentage-based payout tracking
